Sometimes, contracting parties may mutually want the end date of an agreement to fall within a shorter period than the notice period. This can be relevant if one or both parties, for various reasons, need to withdraw from the lease—even before the access date.
Qasa always follows your agreement and does not require you to adhere to the notice period if both parties wish to deviate from it. If there is a conflict between you regarding this, feel free to contact the support.
Notify Qasa Support of the Deviating End Date
It’s important that both parties contact us at Qasa support about the fact that you wish to terminate the agreement, regardless of whether this will be according to or beyond the agreed-upon notice period. If the date does not follow the notice period, it unfortunately cannot be entered into the calendar tool under Your Rentals, where a notice confirmation is otherwise generated.
If you need help generating a termination confirmation outside of the notice period contact us in the usual way via email, chat, or by filling out a calling form on Qasa’s Help Page.
Sign a Termination Confirmation
As soon as you have contacted us and we clearly understand that all are in agreement on a specific end date, we will send you a so-called notice confirmation. This is a document that all contracting parties sign through the Scrive signing service to confirm that this is indeed the new end date. Signing the notice confirmation does not require a BankID, and an invitation is sent out by both SMS and email.
The invitation to sign is sent in order, with the landlord signing first, followed by each tenant. If the signing process has stalled, it could be because one party has not signed. If you are curious about why you haven’t received a signing invitation or lost the email, contact support.
What Happens if a Contracting Party Refuses to Sign?
In these cases, contact support to find out why this might be. It’s important to know that Qasa support has no mandate to make executive decisions about when an agreement should end. We rely on information you, as users, provide, and internal data about when a termination was first reported between you as contracting parties to ensure that the end date is accurate.
If a termination has clearly been reported on time, we can help you update the end date on the platform regardless, even if one party has not signed.
Sometimes, this may be due to delivery problems, or that the invitation to sign has landed in a user’s spam folder. Support can also help you send a reminder to sign, so the invitation appears higher in your inbox.
Note that the invitation to sign a notice confirmation is handled only on Scrive via SMS or email invitation, and a link to it unfortunately does not appear anywhere on the platform.
Regulating Incoming and Outgoing Payments after Termination
When you, as a user, choose to use Qasa’s service, we take responsibility for handling all claims related to the agreement, i.e., all incoming and outgoing payments.
If you, as parties, choose to terminate the agreement to a retroactive date, we may have already paid you as the landlord for parts of the period, for which Qasa may need to reclaim funds. Likewise, as a tenant, you may have paid for a period that extends beyond the end date you signed a notice confirmation for, and our task is then to reimburse you for that period, including both rent and the associated service fee.
Therefore, we ask you not to handle refunds between each other privately, as you risk being double-charged when Qasa retroactively regulates payments.
If you, as a tenant, have paid for a period following a retroactive end date and Qasa is to reimburse you for that period, it’s important that your bank account details are provided on the platform. Otherwise, add them under your bank account settings, here.
How Do I Know the New End Date Has Been Registered?
After all contracting parties have signed a notice confirmation and Qasa has regulated the incoming and outgoing payments, we can manually update the agreement’s end date so it’s also visible on the platform. Once this is done, the new end date will appear under the tab Your Rentals and Details for each rental agreement. Don’t forget to check under Completed in the Ended tab if the end date of the rental period has passed.
