Qasa allows contracting parties to set an earlier end date than the agreed notice period by mutual consent. Both parties must notify Qasa via the platform, generate, and sign a termination confirmation through Scrive. Qasa handles payment adjustments and updates the new end date on the platform after all signatures and settlements are complete. Contact support if signing issues arise.
Sometimes, contracting parties may mutually want the end date of an agreement to fall within a shorter period than the notice period. This can be relevant if one or both parties, for various reasons, need to withdraw from the lease—even before the access date.
Qasa always follows your agreement and does not require you to adhere to the notice period if both parties wish to deviate from it. If there is a conflict between you regarding this, you are welcome to contact our support for guidance.
Notify Qasa Support of the Deviating End Date
It is important that both parties indicate on the Qasa platform that you wish to cancel our service linked to the agreement, regardless of whether this occurs according to or outside the agreed notice period. You then specify the date in the calendar tool under My leases, where you generate a "termination confirmation" (uppsägningsbekräftelse) under "Details" for the specific rental you wish to update.
Sign a Termination Confirmation
Once you have navigated to the details of your ongoing agreement and generated a termination confirmation, a document is created for all parties to sign via the Scrive signing service. This confirms that this is indeed the new agreed-upon end date. Signing the confirmation requires BankID only if the agreement was originally signed that way, and an invitation will be sent via email.
Invitations to sign are sent sequentially: the landlord signs first, after which it becomes the turn of all tenants to do the same. If the signing process has stalled, it may be because we are waiting for a party who has not yet signed. If you are wondering why you haven't received an invitation or if you have lost the email, please contact support.
What Happens if a Contracting Party Refuses to Sign?
In these cases, contact support to find out why this might be. It’s important to know that Qasa support has no mandate to make executive decisions about when an agreement should end. We rely on information you, as users, provide, and internal data about when a termination was first reported between you as contracting parties to ensure that the end date is accurate.
Sometimes, this may be due to delivery problems, or that the invitation to sign has landed in a user’s spam folder. Support can also help you send a reminder to sign, so the invitation appears higher in your inbox.
Note that the invitation to sign a notice confirmation is handled only on Scrive via email invitation, and a link to it unfortunately does not appear anywhere on the platform.
Regulating Incoming and Outgoing Payments after Termination
When you, as a user, choose to use Qasa’s service, we take responsibility for handling all claims related to the agreement, i.e., all incoming and outgoing payments.
If you, as parties, choose to terminate the agreement to a retroactive date, we may have already paid you as the landlord for parts of the period, for which Qasa may need to reclaim funds. Likewise, as a tenant, you may have paid for a period that extends beyond the end date you signed a notice confirmation for, and our task is then to reimburse you for that period, including both rent and the associated service fee.
Therefore, we ask you not to handle refunds between each other privately, as you risk being double-charged when Qasa retroactively regulates payments.
If you, as a tenant, have paid for a period following a retroactive end date and Qasa is to reimburse you for that period, it’s important that your bank account details are provided on the platform. Otherwise, add them under your bank account settings, here.
How Do I Know the New End Date Has Been Registered?
After all contracting parties have signed a notice confirmation and Qasa has regulated the incoming and outgoing payments, we can manually update the agreement’s end date so it’s also visible on the platform. Once this is done, the new end date will appear under the tab My leases and Details for each rental agreement.
Don’t forget to check your completed rentals in the Ended tab if the end date of the rental period has passed.
